Privacy Policy
This Privacy Policy explains how Leadership Training for Christ Southwest, Inc. ("LTCSW," "we," "us," or "our") collects, uses, protects, retains, and deletes information in connection with the LtcSw Pulse mobile application and its official App Support service.
Contents
1. Scope of this Privacy Policy
This Privacy Policy applies specifically to the LtcSw Pulse mobile application and the official LtcSw Pulse App Support page. It does not replace privacy notices that may apply separately to LTCSW convention registration, church administration, historical participant records, or other LTCSW websites and services.
LtcSw Pulse may use information from an existing LTCSW participant record to verify account eligibility and provide participant-specific features. The underlying LTCSW registration record exists independently from the mobile-app account.
2. Intended Audience and Eligibility
LtcSw Pulse is intended for LTCSW participants in grades 7 through 12 and is not directed to children under 13 years of age. A participant must be at least 13 years old to have a LtcSw Pulse participant account.
Participant account use is authorized by an adult, parent or legal guardian, or authorized church coordinator. LTCSW also obtains parent or guardian authorization through the convention registration process for minor participants as applicable.
3. Information We Collect and Process
A. Existing participant information
To verify eligibility and provide participant-specific features, LtcSw Pulse may access the following information from LTCSW's existing registration system:
- First name
- Last name
- Email address
- Participant/Roster ID
- Registered events
B. LtcSw Pulse account information
When an authorized participant account is created or maintained, LTCSW processes:
- Username
- Password in cryptographically hashed form; LTCSW does not store the account password as readable plain text
- Participant/Roster ID association
- Email address used during participant validation/account registration
- Account creation date
- Authentication, session, and/or device tokens needed to keep the account securely authenticated
Users may change their username and password using available account-management features.
C. Information displayed in the secure area
After successful authentication, LtcSw Pulse may display:
- Participant name
- Registered email address
- Personal event schedule derived from the participant's registered events
Participant users are not provided access to personal information belonging to other participants. Authorized adults or church coordinators may, where LTCSW authorizes that role, access information for participants under their legitimate supervision.
D. App Support information
If you submit a request through the official LtcSw Pulse App Support page, LTCSW may collect:
- Name
- Email address
- Device platform
- Username, if voluntarily provided
- Type of support or privacy request
- The contents of your support message
- Internet Protocol (IP) address associated with the submission
- Date and time of submission
Do not submit your password or unnecessary sensitive information through the support form.
E. Server and security logs
LTCSW web and API infrastructure may automatically generate limited technical records needed to operate, secure, diagnose, and protect the service. Depending on the request, these records may include an IP address, request date and time, requested resource, response or error information, and standard technical information transmitted by the device or network connection.
LTCSW does not use these operational logs for advertising, behavioral profiling, or cross-app/cross-website tracking.
4. How We Use Information
LTCSW uses information processed through LtcSw Pulse only as reasonably necessary to:
- Verify that a person is associated with an eligible LTCSW participant record.
- Create, authenticate, maintain, and secure LtcSw Pulse accounts.
- Display a participant's registered email address and personal event schedule.
- Provide public calendars, study materials, and convention-related resources.
- Allow authorized adults and church coordinators to carry out approved participant-related responsibilities.
- Respond to support, correction, privacy, restriction, consent-withdrawal, and deletion requests.
- Protect LTCSW systems, investigate technical problems, and prevent unauthorized access or abuse.
- Comply with applicable legal obligations and legitimate organizational recordkeeping requirements.
LTCSW does not use LtcSw Pulse personal information to build advertising profiles, serve targeted advertising, sell personal information, or track users across apps or websites.

No financial transactions or user-generated content
LtcSw Pulse does not process payments, donations, merchandise purchases, subscriptions, or in-app purchases. It does not provide user-to-user messaging, comments, photo or document uploads, participant-created posts, judging submissions, forms, or other user-generated content features.
6. Sharing and Disclosure of Information
LTCSW does not sell personal information, rent personal information, share personal information for targeted advertising, use data brokers, or engage in cross-context behavioral advertising or cross-app/cross-website tracking.
Information may be accessed or disclosed only as reasonably necessary in the following circumstances:
- Authorized LTCSW personnel. LTCSW administrators and authorized convention staff may access participant information as necessary for legitimate organizational, convention, account-support, or security purposes.
- Authorized church coordinators. A church coordinator may have access to information about participants legitimately under that coordinator's supervision when LTCSW has authorized the role.
- Infrastructure and service providers. Providers necessary to host, transmit, secure, back up, or maintain LTCSW's website, API, email, and related infrastructure may process limited information on LTCSW's behalf. Such processing is limited to providing those operational services.
- Legal, safety, and security needs. LTCSW may disclose information when reasonably necessary to comply with law, respond to lawful process, protect users, safeguard LTCSW systems, investigate abuse or security incidents, or protect the rights and safety of LTCSW and others.
7. YouTube and External Content
LTCSW website and external documents
The Website feature opens the official LTCSW website in the device's external browser. PDF and similar document resources are also opened externally rather than being rendered as participant-tracked content inside LtcSw Pulse. Once you leave the app, the privacy practices of the destination website, browser, or service may apply independently.
YouTube study material
LtcSw Pulse is expected to support embedded YouTube video study material, which may include videos produced by LTCSW or other publicly available content. The exact technical implementation of the embedded YouTube feature has not yet been finalized.
Before a production release containing embedded YouTube playback, LTCSW will review the implementation and update this Privacy Policy and the applicable Apple App Store and Google Play privacy disclosures if the selected YouTube player, API, SDK, or embedded web technology causes additional user or device information to be transmitted to Google/YouTube or another third party.
8. Data Security
LTCSW uses reasonable administrative and technical safeguards designed to protect LtcSw Pulse information from unauthorized access, disclosure, alteration, or destruction. These safeguards include:
- HTTPS/TLS encrypted network communication between the app and LTCSW web/API services.
- No direct mobile-app connection to the underlying MySQL database.
- Server/API-mediated access to participant information.
- Cryptographically hashed account passwords rather than storage of readable passwords.
- Authentication/session controls for protected areas.
- Role-limited administrative access for authorized LTCSW personnel and church coordinators.
- Operational logging and backups used for reliability, security, and recovery.
No method of electronic transmission or storage can be guaranteed to be completely secure. Users should protect their username and password and should never provide their password in a support request.
9. Data Retention
| Information | Normal Retention |
|---|---|
| LtcSw Pulse account information | Retained while the account remains active and until deletion is completed, subject to limited lawful or necessary retention described below. |
| Authentication/session/device tokens | Retained only as necessary for authentication and session management and deleted or invalidated as part of account deletion. |
| Ordinary server/security logs | Normally retained for up to 90 days. |
| Support correspondence | Normally retained for up to 24 months after the request is resolved. |
| Completed deletion-request record | A minimal record showing that a request was received, verified, and completed may be retained for compliance, security, and recordkeeping purposes without retaining the deleted app-account data itself. |
| Independent LTCSW registration and historical records | May be retained indefinitely as legitimate convention, participant, event, award, church, historical, or organizational records. |
Specific security, legal, safeguarding, dispute, or abuse-related records may be retained longer when reasonably necessary for the applicable purpose.
Backups
Information deleted from active production systems may remain temporarily in pre-existing encrypted or protected backups until those backups expire through LTCSW's normal backup rotation. LTCSW does not restore deleted account information to active use except where necessary for disaster recovery, in which case applicable deletion requirements will be re-applied as reasonably practicable.
10. Pulse Website Account Management
The Apple and Android versions of LtcSw Pulse do not allow users to create or delete accounts. The mobile applications authenticate users against an existing Pulse account that was established separately through the Pulse website.
Account creation, username changes, password changes, and account deletion are managed through the Pulse website. Pulse is currently in internal development and testing, so the final public account-management URL is not yet available. This Privacy Policy will be updated with the production account-management location before public release.
Questions about an existing test account or account-management issue during development may be directed to AppSupport@LtcSw.Org.
11. Privacy Choices and Requests
Users, and parents or legal guardians acting for minor participants, may contact LTCSW to:
- Request correction of inaccurate LtcSw Pulse information.
- Request deletion of a LtcSw Pulse account.
- Request restriction of particular processing where applicable.
- Withdraw consent where the processing is based on consent and withdrawal is legally applicable.
- Ask questions about what information LtcSw Pulse uses and how it is handled.
LtcSw Pulse does not currently provide a general self-service data-export or account-copy feature. Where applicable law grants a specific right of access or a copy of personal information, LTCSW will respond as required by that law.
Requests may be submitted through the App Support form or by emailing AppSupport@LtcSw.Org. LTCSW may request reasonable verification before acting on a request involving protected participant information.
12. Minors, Parents, and Guardians
LtcSw Pulse is intended for participants age 13 and older. Many intended users are minors between 13 and 17 years old. LTCSW therefore treats participant information with heightened care and limits the mobile application to convention-related functions.
LTCSW does not use LtcSw Pulse to provide advertising, behavioral tracking, public social interaction, user-to-user messaging, or public participant profiles. Participants cannot use the app to view personal information belonging to other participants.
A parent or legal guardian may contact LTCSW regarding a minor participant's information, request corrections, request applicable restrictions, withdraw applicable consent, or request deletion of the participant's LtcSw Pulse account.
13. Geographic Scope
LtcSw Pulse is intended primarily for LTCSW participants and authorized users in the United States. LTCSW does not currently design or market the application for participants outside the United States.
If LTCSW later expands LtcSw Pulse to users in other countries or regions, this Privacy Policy and the application's data practices will be reviewed and updated as appropriate.
14. Changes to this Privacy Policy
LTCSW may update this Privacy Policy when LtcSw Pulse features, data practices, legal requirements, third-party integrations, or store requirements change. The revised policy will display a new "Last Updated" date.
If a change materially affects how participant personal information is collected, used, or shared, LTCSW will provide appropriate notice and obtain any consent that is required before the changed practice takes effect.
In particular, LTCSW will review this policy before releasing any feature that adds device permissions, analytics, advertising, push notifications, financial transactions, user-generated content, or a third-party embedded media implementation that changes the application's data practices.
